QUALIFICATIONS:

  1. Minimum of five (5) years of administrative assistant experience with at least three (3) years as administrative assistant to a person in a management/executive-level position.
  2. Associates Degree or higher in Human Resources or related field preferred.
  3. Highly proficient in the application and use of personal computer skills (Microsoft Office Suite).
  4. Possess superior communication skills, particularly in the areas of spelling, punctuation and grammar.
  5. Excellent math and analytical skills and the ability to prepare statistical reports.
  6. Ability to deal with confidential and highly sensitive matters, understand education administration, regulations and laws.
  7. Ability to exercise independent judgment in making decisions in accordance with established policies and procedures.
  8. Excellent customer-service and interpersonal skills.
  9. Ability to establish and maintain effective working relationships with all staff.
  10. Flexibility and organizational skills to handle multiple and completing assignments which may extend beyond the regular work day.
  11. Ability to write reports and business correspondence.
  12. Knowledge of or ability to learn legal terminology.
  13. Must pass criminal background check as required by School Safety Legislation.

 

RESPONSIBILITIES SHALL INCLUDE BUT NOT BE LIMITED TO:

 

  1. Provide executive administrative support to Human Resources/Employee Relations, Legal Affairs and Administration.
  2. Respond to inquiries from the staff and the public and direct them to appropriate staff for follow-up.
  3. Initiate and/or respond to routine and general correspondence and requests.
  4. Coordinate changes, updates, revisions and distribution for the countywide school district directory.
  5. Assist with functions associated with Livescan fingerprinting.
  6. Maintain and manage Criminal History Record Information (CHRI) records for the district.
  7. Coordinate implementation of district FMLA policies.
  8. Coordinate and maintain schedules, appointments, meetings and calendars.
  9. Prepare and issue personal and collectively bargained contracts as directed by Administration.
  10. Assist in the interpretation and implementation of collective bargaining agreement language.
  11. Perform necessary Human Resources functions such as:
    1. Posting job openings
    2. Receive and refer applications
    3. Schedule interviews
    4. Prepare and forward data to payroll regarding employment, personnel changes, resignations, etc.
    5. Perform necessary functions relative to personnel status changes
  12. Assist with recruitment, processing, and dispatching of substitute personnel.
  13. Process and maintain employee payroll records.
  14. Maintain personnel related databases (AS400) when appropriate and promote technical efficiency.
  15. Coordinate authorizations for payments, and maintain budget and records of expenditures.
  16. Compile and maintain MISD Policy and Administrative Guidelines.
  17. Coordinate materials for meetings and conferences; assist in developing agendas, assemble and distribute reports.
  18. Perform such other duties and functions as may be necessary and related to the above.

 

UNION:      This is a non-union, year-round position.
